1. Hire Process
Step 1: Make an Enquiry
Get in touch with us via email, phone, or our online quote form. Please include as many details as possible, such as:
- Event type and theme
- Venue location and access information
- Delivery and collection times
- Desired hire dates and budget
Step 2: Receive Your Quote
Once we understand your requirements, our Sales Executive will provide an itemised quote.
A visual presentation can also be prepared upon request. Adjustments may be made before final confirmation.
Step 3: Confirm Your Booking
To secure your booking:
- We’ll issue your invoice and booking summary.
- A 40% non-refundable booking fee and refundable security bond are required.
- Your final balance is due 14 days before your event date.
- Approximately one month prior, our team will confirm delivery and collection details.
Step 4: Delivery, Setup & Collection
If delivery is arranged, our team will deliver and position all items with care.
Styling services are not included, but we can recommend trusted stylists.
For DIY hire, items can be collected and returned between Thursday and Monday.
Alternate times can be arranged where possible. A $40 pick-and-pack fee applies for showroom collections.
2. Hire Duration
Our standard hire period is four (4) days:
- Day 1: Delivery or collection
- Days 2–3: Event use
- Day 4: Return or collection
Extended hire periods can be arranged (additional fees may apply).
3. Minimum Order Values
- Delivery Hire:
- Brisbane & Gold Coast – $500 minimum hire
- Other regions – from $1,000 minimum (depending on distance)
- DIY Hire:
- $100 minimum hire + $40 preparation fee
DIY hire items can be browsed on our website.
4. Service Areas
Based in Brisbane, Queensland, we service:
- Brisbane
- Gold Coast
- Sunshine Coast
- Surrounding regions
For events beyond these areas, please contact us, we often accommodate extended deliveries.
5. Delivery & Collection
Delivery fees are calculated based on:
- Travel distance and venue access
- Loading/unloading time
- Quantity and size of items
Approximately one month before your event, you’ll receive an online booking form to confirm:
- Delivery and collection times
- On-the-day contact details
- Venue access information
Your final delivery window will be confirmed one week prior, within a two-hour timeframe.
Collections typically occur the following day or within two hours of event conclusion.
Please ensure all items are packed and accessible for pickup.
6. Order Changes
Changes to your booking (adding or removing items) are subject to availability and must be made at least 30 days prior to your event. Revised quotes will be issued for any updates.
7. Cancellations
All cancellations must be received in writing.
Time Before Event
Refund Policy
More than 3 months
Full refund, less $100 administration fee
Within 3 months-
40% booking fee forfeited
Within 14 days-
No refund; full hire amount payable
For sit-down events, you may reduce tables, chairs or tableware by up to 10% without penalty. Final numbers must be confirmed 14 days before delivery.
In exceptional circumstances (e.g., natural disasters, extreme weather, or government restrictions), we will review your case to reach a fair resolution.
8. Payment Terms
- Booking Fee: 40% (non-refundable, non-transferable) due upon confirmation.
- Security Bond: Refundable within 3 business days after items are returned in good condition.
- Final Balance: Due 14 days prior to event date (earlier for large or remote bookings).
- Cleaning & Maintenance: Included in hire price.
- Delivery & Collection: Quoted separately.
- Special Removal During Event: Available upon request (additional labour fees apply).
Accepted Payment Methods:
- Direct bank transfer (EFT)
- Credit card (Visa, Mastercard)
- PayPal (by prior arrangement)
Payment details will appear on your invoice.
9. Security Bond Conditions
- Bonds are refunded within 3 business days after inspection.
- Repairable damage: Invoiced and payable within 7 days.
- Lost or unrepairable items: Full replacement cost payable within 7 days.
- All items must be returned in original packaging and condition.
10. During Your Event
If you experience an issue with equipment, contact us immediately,we’ll dispatch a replacement or technician where possible.
You are responsible for:
- The safe and appropriate use of all hire items
- Ensuring items are protected from weather, theft, or damage
An on-site supervisor can be arranged (additional fees apply).
We aim to complete setup at least 2 hours before guest arrival, or earlier upon request.
11. Booking & Availability
We recommend booking:
- 3–6 months in advance for general events
- 6–9 months in advance for peak seasons (spring/summer)
We can hold items for 48 hours while you finalise your decision.
A booking is confirmed only once the deposit is received
12. Liability
Elysian Event Hire will not be liable for:
- Injury, loss, or damage arising from use or misuse of hire items
- Delays or failures caused by events beyond our control
You assume full responsibility for hire items from delivery or collection until their return.
13. Governing Law
These Terms are governed by the laws of Queensland, Australia, and any disputes will be subject to the exclusive jurisdiction of Queensland courts.
14. Australian Consumer Law
Nothing in these Terms limits your rights under the Competition and Consumer Act 2010 (Cth) or the Australian Consumer Law (ACL).
Where our liability cannot be excluded, it is limited to:
- Re-supplying the goods or services, or
- Paying the cost of re-supply.
15. Insurance & Responsibility
Once items are delivered or collected, they remain your responsibility until returned.
You are liable for loss, theft, or damage (including weather-related).
We recommend confirming your venue or personal insurance covers hired items during the event.
16. Indemnity
You agree to indemnify and hold harmless Elysian Event Hire Pty Ltd, its employees, and contractors from any claims, damages, or losses arising from your use of hired items or breach of these Terms.
17. Privacy
Elysian Event Hire complies with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Your personal information is used only for booking management, payment processing, and communication. We do not share personal data with third parties except as required by law or necessary to fulfil your booking.
18. Force Majeure
Elysian Event Hire will not be liable for failure to perform obligations due to events beyond our control, including:
- Natural disasters or severe weather
- Power outages or equipment failure
- Transport or supplier disruptions
- Government restrictions or emergencies
Where possible, we will work with you to reschedule or adjust your booking.
19. Dispute Resolution
If a dispute arises, both parties agree to make genuine efforts to resolve it through communication before taking external legal action.
